PERSONAL DATA PROCESSING
1. What is personal data
Personal data means any information relating to an identified or identifiable natural person, such as your contact information, order details or product data.
Data privacy is of high importance for TRAZOS, and we want to be open and transparent about how we process your personal data. This policy explains how your personal data will be processed and protected.
2. General principles for personal data processing by TRAZOS
We adhere to the following principles when processing your personal data:
- We will only collect personal data for specified, explicit and legitimate purposes;
- We will not collect personal data beyond what is necessary to accomplish those purposes;
- We will not use personal data for purposes other than those for which it was collected, except as stated herein or with prior consent;
- We will not transfer personal data to third parties except as stated herein or with prior consent;
- We will do our best to keep information up to date by encouraging you to verify your personal data periodically;
- We will maintain appropriate technical and organizational measures to protect your personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access and all other unlawful forms of processing; and
- Except when stated herein, we will not store personal data longer than is necessary to accomplish the purposes for which it was collected or as required by law.
- According to applicable German commercial law, all TRAZOS furniture comes with a five-year warranty. Consequently, we retain customer data for up to five years.
3. Personal data we collect and process
When you engage with TRAZOS through various channels, including the Platform, we collect and process your personal data. This may include:
1) Your personal details: name, email address, physical address (if provided), phone number (if provided), IP address, in some cases geolocation and language.
2) Your purchase information: your personal details as above, company name (if provided), delivery address (if different), order information such as product name, quantity, stock keeping unit number, purchase date, payment information (credit card or similar), and friend referral (if applicable).
3) Requests for customer support and technical assistance, including your personal details as above, product serial number, product warranty information, place of purchase and other information we may require to handle your request.
4) Information provided when completing surveys, questionnaires or feedback forms, such as your personal details as above, product warranty, place of purchase, your feedback and evaluations, and your location information.
5) Behavioural information collected via cookies and similar technologies (pixels, tags, identifiers) to remember your preferences, understand how our websites and apps are used, and customize our marketing offers.
6) Any other personal data you actively transfer to TRAZOS.
4. Application and storage of collected personal data
We process your personal data for the following purposes:
1) To provide you with customized information on news, events, competitions and similar marketing content related to TRAZOS and its products. This processing is based on your consent.
2) To handle your orders, complete transactions and ensure delivery of purchased products, including handling possible returns. This processing is necessary for fulfilling our contract with you.
3) To make future purchases easier by remembering your shipping details. This processing is based on TRAZOS’s legitimate interest and is not considered harmful to you.
4) To provide customer service, handle your requests or complaints and provide product warranty support. This processing is necessary for fulfilling our contract with you.
5) To improve your customer experience by offering personal benefits such as discounts or customized offers based on previous purchases or friend referrals. This processing is based on your consent.
6) To collect your feedback regarding TRAZOS products and services by inviting you to complete surveys, questionnaires or feedback forms. This processing is based on your consent.
Accordingly, some personal data is required for us to fulfil contractual obligations. If you choose not to provide the requested personal data, we may not be able to fully satisfy your request.
5. Where we store and process your personal data
As a general rule, your personal data is stored and processed within the European Economic Area (EEA). However, it may be transferred outside the EEA between TRAZOS entities and certain third parties (see section 6) for the purposes for which it was collected.
In case of transfers to third countries (as defined under the GDPR), we comply with applicable legal requirements and ensure appropriate legal and security safeguards.
6. Our disclosure of your personal data to third parties
We collect and process data to improve TRAZOS’s products, services and offers. We do not sell your personal data and only share it as stated in this Privacy Policy.
We may disclose your personal data to comply with legal obligations, court orders or decisions by competent authorities, or for law enforcement purposes. We may also share it with:
Third-party vendors providing services on our behalf, including billing, sales, marketing, IT support, advertising, analytics, research, customer service, product service support, shipping and fulfilment, data storage, validation, security, fraud prevention, payment processing and legal services.
Such vendors may access your data only to perform their tasks and must not use it for other purposes. We take reasonable steps to ensure third parties are bound by confidentiality and privacy obligations and process data only per our instructions and legal requirements, under proper agreements.
7. Cookies
We use cookies and similar technologies (pixels, tags and identifiers) to remember your preferences, understand how our websites and apps are used, and tailor our marketing.
A cookie is a small text file placed on your device when you visit our site. Cookies help us:

8. Responsible for processing

YOUR RIGHTS
9. Access, portability, deletion and updates
Upon request, TRAZOS will inform you which data we process, how it was collected and how it is used. You have the right to know how long your data will be stored and who may receive it.
You have the right to access and receive the personal data you provided to TRAZOS. You may contact us to review, update or delete your personal data (see section 16). Before granting access or making changes, we must properly verify your identity.
Once deleted, your personal data will be removed from TRAZOS’s servers without undue delay. Complete deletion from backup systems may take up to two (2) months.
10. Right to withdraw your consent
Some of TRAZOS’s processing activities may be based on your consent. In such case, you will have the right to withdraw your consent at any time. Withdrawal of your consent will not affect the lawfulness of processing conducted prior to the withdrawal.
If you withdraw your consent, TRAZOS and third parties involved in personal data processing will cease to process your personal data, unless and to the extent the continued processing or storage is permitted or required according to the applicable personal data legislation or other applicable laws and regulations. Please note that as a consequence of your withdrawal of your consent, TRAZOS may not be able to meet your requests or provide you with our services.
11. Right to restriction of processing and right to object
You have the right to restrict processing if your data is inaccurate, processing is unlawful and you oppose erasure, we no longer need the data but you require it for legal claims, or you have objected to processing pending our legitimate interest verification (see section 16 for contact details).
You may object to processing carried out under our legitimate interests, such as storing your shipping details to simplify future purchases or conducting analytics on your use of TRAZOS products. You may also object to processing for direct marketing at any time by unsubscribing via the link in our marketing communications or by contacting TRAZOS directly.
12. Right to complain
If you want to complain about a privacy breach, please contact TRAZOS sending your complain to TRAZOS, Harthauser Straße 79, 81545 Munich, Germany or by sending an email to support@trazos.de.
We will acknowledge receipt of your complaint within five (5) business days. We will do our best to resolve it as quickly as possible and within one (1) month from the date of complaint. In case response would require longer term than one (1) month, we will notify you and inform you of the relevant reason(s).

MISCELLANEOUS
13. Third-party websites, plug-ins and services
TRAZOS websites and services may contain links to third-party websites or use plug-ins (e.g. social media logins) or services (e.g. analytics tools).
If you use these, you may share your information with those third parties. TRAZOS is not responsible for their content or privacy practices. Please read the privacy policies of any third parties carefully, as their processing of your data is governed by their policies, not ours.
14. Data security
TRAZOS is committed to protecting your personal data. We use necessary organizational, technical and administrative measures to secure your data, such as access control, encryption and separation of data.
Access to online services is protected by usernames and passwords. Choose strong passwords and protect them carefully.
Your personal and payment details are encrypted where provided to TRAZOS. Payment data remains with our third-party provider PayPal and is not stored longer than necessary for processing. All external transmissions of personal data facilitated by TRAZOS are protected by encryption.
Data storage and processing at TRAZOS and our partners’ facilities are covered by written agreements.
If you believe your interaction with TRAZOS is no longer secure (e.g. if you suspect account compromise), please notify us immediately (see section 16).
15. Changes to our Privacy Policy
TRAZOS may update this Privacy Policy to reflect changes in our products, services, applicable legislation or customer feedback. Please review it periodically. The latest revision date is shown at the top.
If material changes are made, we will notify you by posting an update or sending an email.
